Invoice & Charge Sync to Accounting
Automatically log Stripe invoices and charges to your accounting system (Odoo, QuickBooks) in real-time
Stripe integration that captures all charges, refunds, and invoices and logs them to your accounting system with proper categorization. Eliminate manual reconciliation.
When a transaction occurs in Stripe, Nora receives a webhook notification. Nora extracts the transaction details, including the amount, customer, type, and metadata. It maps the event—whether a subscription charge, refund, or dispute—to the correct general ledger code in your accounting software. Finally, Nora creates a journal entry in Odoo or QuickBooks, tagging it with the Stripe transaction ID.
The finance manager no longer exports CSV files or manually matches payments to invoices at month-end. They review the aggregated financial reports directly in the accounting system. The manager remains responsible for defining the mapping logic for new product lines or complex disputes by telling Nora how to handle them in chat.
Runs real-time as transactions occur using Stripe, run by your Finance Manager.
How it works
- Receive transaction webhooks — Nora listens for incoming webhook events from Stripe. It triggers immediately when a charge succeeds, a refund is issued, or a subscription invoice is finalized. It ignores draft invoices and failed payment attempts unless specifically instructed to log them.
- Read payment data — Nora calls the Stripe API to pull the full context of the transaction. It reads the customer ID, amount, currency, and any associated metadata or product details attached to the payment intent or invoice.
- Assign ledger codes — Nora evaluates the transaction type and product details against your requested mapping. A standard subscription charge maps to a revenue account, while a refund maps to a specific returns account.
- Flag unrecognized types — If a transaction includes a new product or metadata tag that lacks a clear accounting destination, Nora stops. It sends a message in chat asking the finance manager where to route the new item before proceeding.
- Write journal entries — Nora connects to your accounting system. It creates a new journal entry with the correct debits and credits, applying the Stripe transaction ID to the reference field for future auditing.
What this replaces
A finance operator logs into Stripe, exports a list of balance transactions for the period, and opens their accounting software. They work down the spreadsheet, creating individual journal entries for each charge and refund. They manually assign the appropriate revenue or expense account based on the product sold, occasionally hunting down customer details to match records.
- Export balance transactions from Stripe as a CSV.
- Determine the correct GL code for each transaction type.
- Create individual journal entries in the accounting system.
- Paste the Stripe transaction ID into the accounting reference field.
Rough estimate rather than a measured figure: about 45 minutes a day, assuming 30 transactions taking 90 seconds each to categorize and log.
What it needs to run
Accounts and plans
- An active Stripe account with live mode transactions.
- A supported accounting system like QuickBooks or Odoo.
Access it asks for
- Stripe API Secret Key to read transactions and customer data.
- Accounting software API access to write journal entries and read account charts.
What Nora reads
- Stripe balance transactions, charges, refunds, and disputes.
- Stripe customer records and invoice metadata.
- Chart of accounts from the accounting system.
What Nora writes
- Journal entries in the accounting system.
When it goes wrong
- The accounting system API is temporarily unavailable Nora queues the pending journal entries. It retries the connection at intervals. If the system remains down for more than an hour, Nora alerts the operator in chat.
- A Stripe webhook fires for a draft invoice Nora reads the invoice status. Recognizing it is not a finalized financial transaction, Nora takes no action and discards the event.
- A transaction involves a missing currency Nora cannot create the journal entry. It pauses the sync for that specific transaction and messages the operator, asking them to add the currency to the accounting system.
- The Stripe API key expires or is revoked Nora fails the initial read request. It immediately sends a notification to the designated channel, asking the user to provide a new API key to resume the sync.
Who this is for
Worth it if
- Finance teams at SaaS companies processing 50+ subscription charges daily.
- E-commerce operators handling frequent refunds and disputes that complicate reconciliation.
- Businesses with multiple Stripe accounts funneling into a single accounting ledger.
Not worth it if
- Early-stage startups with fewer than 10 transactions a month where manual entry takes minutes.
- Companies that use a third-party payment processor that does not expose transaction webhooks.
A worked example
A B2B software provider processes 150 monthly subscriptions and occasional one-off consulting fees. They asked Nora to route subscription revenue to account 4000 and consulting revenue to account 4100 based on the Stripe product ID.
Journal Entry: JE-2023-10-142 Date: Oct 24, 2023 Reference: ch_3N5xY2LkdIwHu7 Customer: Acme Corp (cus_9Xkd23L) Lines: Account: 1000 Checking Account | Debit: $500.00 Account: 4100 Consulting Revenue | Credit: $500.00 Memo: Stripe Charge for "Q4 Architecture Review". Nora creates this record directly in QuickBooks within seconds of the payment succeeding in Stripe. The transaction ID is pinned to the reference field, making future audits straightforward.
Frequently asked questions
What happens if I introduce a new product in Stripe?
Nora looks at the product ID on the transaction. If it has no instructions for that specific product, it stops and messages you. You reply in plain language telling Nora which ledger account to use. Nora remembers this mapping for all future transactions involving that product.
Can Nora handle partial refunds?
Yes. When a partial refund occurs, Stripe generates a specific balance transaction for the refunded amount. Nora reads this exact amount and creates a corresponding journal entry, debiting your refunds account and crediting cash, rather than reversing the entire original charge.
How do I correct an entry if Nora categorizes a charge incorrectly?
You delete or edit the journal entry directly in your accounting software. Then, you message Nora in your chat channel to correct the mapping logic. You explain the mistake in plain English, and Nora adjusts its instructions for the next time that transaction type occurs.
Does this sync historical Stripe data from before I connected Nora?
By default, Nora only listens for new webhooks starting from the moment you activate it. If you need historical transactions synced, you can ask Nora to run a backfill. You specify the date range in chat, and Nora retrieves those past balance transactions via the Stripe API.
