Auto-Reconcile Bank Transactions Daily

Close your books in hours instead of days with automatic bank reconciliation.

Nora pulls QuickBooks bank feeds, automatically matches transactions to invoices/expenses using intelligent fuzzy matching, and flags unusual or unmatched items for manual review.

At 11:00 PM every night, Nora connects to QuickBooks to pull the day's bank feed and pending transactions. It compares each bank line item against outstanding invoices, recorded expenses, and recurring payments. Nora matches records based on amount, date, and vendor name, allowing for minor discrepancies like standard tax rates or processing fees. Nora reconciles the matched transactions directly in QuickBooks.

Finance managers no longer spend their mornings ticking off routine cleared payments. They review a daily summary posted in their preferred channel, focusing only on the exceptions Nora flagged. The finance manager decides how to handle unmatched transactions, such as unexpected vendor charges, missing receipts, or payments that fall outside the acceptable rounding limits.

Runs daily at 11:00 pm using QuickBooks, run by your Finance Manager.

How it works

  1. Pull daily bank feeds — At 11:00 PM, Nora queries the QuickBooks API for the latest bank feed transactions. It retrieves all uncleared deposits and withdrawals recorded for the connected accounts over the past 24 hours.
  2. Retrieve outstanding financial records — Nora pulls a list of open invoices, unpaid bills, and recent expenses. It loads vendor names, transaction dates, and expected amounts to create a pool of potential matches for the incoming bank data.
  3. Compare and match transactions — Nora evaluates the bank feed against the outstanding records. It looks for exact matches on amount and date first, then applies logic to account for minor differences caused by tax, rounding, or standard payment gateway fees.
  4. Reconcile matched items automatically — For every confident match, Nora updates the transaction status in QuickBooks. It marks the corresponding invoice as paid or the expense as cleared, updating the bank register to reflect the reconciled state.
  5. Flag ambiguous or unmatched records — When a bank transaction has no obvious corresponding record, or multiple invoices share the exact same amount and date, Nora skips the reconciliation. It leaves the transaction untouched in QuickBooks to prevent incorrect allocations.
  6. Send daily reconciliation summary — Nora posts a brief log to the finance team's channel. This message lists the number of transactions successfully cleared and provides direct links to the flagged exceptions that require a human decision.

What this replaces

A finance manager logs into QuickBooks every morning to review the bank feed. They open the list of uncleared transactions, search for matching invoices or receipts, and manually click to match and clear each one. When amounts differ slightly, they calculate the discrepancy to confirm it is a standard fee before reconciling.

Rough estimate rather than a measured figure: about 45 minutes a day, assuming 30 daily transactions that take 60 to 90 seconds each to verify and clear.

A worked example

A 15-person marketing agency processes around 40 bank transactions a day. They connected their QuickBooks Online account and told Nora to run the reconciliation at 11:00 PM, allowing a two-dollar variance for processing fees.

Nightly Reconciliation: Oct 12
Bank feed retrieved: 42 transactions.
Successfully reconciled: 38 transactions.

Exceptions requiring review:
- $4,500.00 deposit from Stripe Transfers. (No single matching invoice; potential bulk settlement).
- $104.50 withdrawal from AWS. (Matches recurring expense, but amount increased from previous $95.00).
- $850.00 deposit from unknown vendor. (Matches Invoice #1042 for Harbour Kitchen Supplies, but payer name differs).
- $12.00 withdrawal for Monthly Account Fee. (No matching expense record).

Transactions left uncleared in QuickBooks. Please review and allocate manually.

Frequently asked questions

What happens if Nora matches a payment to the wrong invoice?

Nora relies on exact matches for amount, date, and vendor, or strict rules you set for fees. If a false match occurs, you tell Nora in plain language to adjust its matching criteria. You can manually un-reconcile the transaction in QuickBooks and apply the payment to the correct invoice. Nora will use the updated instructions for future nightly runs.

How do I change the acceptable variance for payment fees?

You send a message to Nora in your chat channel explaining the new rule. For example, you can tell Nora to accept a variance of up to three dollars for credit card processing fees, or to ignore variations entirely for a specific vendor. Nora updates its instructions immediately and applies the new logic to the next scheduled run.

Does Nora connect directly to my bank account?

No. Nora only connects to your QuickBooks account using the official API. It reads the bank feed data that your bank has already pushed to QuickBooks. Nora cannot initiate bank transfers, view your bank login credentials, or interact with your financial institution directly. It only manages the accounting records within your Intuit environment.

Can Nora handle transactions in multiple currencies?

Yes, provided the foreign currency transactions are properly converted and logged in your QuickBooks bank feed. Nora reads the base currency amounts recorded in your accounting system to find matches. If exchange rate fluctuations cause the deposit amount to differ from the invoice amount, Nora will flag the transaction for your review unless you instruct it to tolerate specific exchange variances.
